IngramSpark's distribution system relies on exact alignment between the digital metadata in your account and the physical data printed on your book. Discrepancies in title, ISBN, or page count will block your file from moving to "Distribution" or "Available for Sale."
1. ISBN & Barcode Compliance: The Legal Identifier¶
The ISBN (International Standard Book Number) is the unique identifier for your book and must be handled with prepress precision. Discrepancies here are not just "errors"—they are legal misidentifications that can block your book from global distribution.
13-Digit Accuracy¶
- ISBN Format Errors: Ensure your 13-digit ISBN is correctly entered without hyphens in the Title Setup field. However, it must match the hyphenated version printed on your copyright page and above the barcode exactly.
- Ownership Verification: IngramSpark audits whether the ISBN belongs to the "Imprint" name listed in your account. If you are using a "Free" ISBN from another platform, IngramSpark will reject the title for "Global Distribution."
Barcode Engineering¶
- Barcode Placement: The barcode must be placed on the back cover in the lower right quadrant.
- Technical Specs: It must be exactly 1.75" x 1.25" and printed at 100% black (K). Using a "Rich Black" (CMYK mix) for the barcode can cause registration shifts, making it unscanable.
- The "Quiet Zone": A white border of at least 0.25" must surround the barcode. If your cover art bleeds into this area, retail scanners will fail, triggering a "File Resource Error."
2. Metadata & Title Setup: Character-Level Alignment¶
IngramSpark’s system performs a binary comparison between the metadata in your account and the text found in your PDF.
- Metadata Mismatch: This occurs when the title, subtitle, or author name in your PDF's title page or copyright page doesn't match the account record. Even a missing middle initial or an extra space can trigger a manual review rejection.
- Page Count Mismatch: physical printing is based on "Formes" (typically 16 or 32 pages). If your PDF has 200 pages but your title setup says 202, the spine calculation will be wrong, and the file will be rejected.
- Trailing Blanks: Remember to count every single page in your PDF, including the front matter and any trailing blank pages added by your layout software to meet the "Forme" requirements.
3. Interior & Cover Structural Alignment¶
- Interior Bleed Settings: Ensure your margins match your specific page count. Thick books (over 300 pages) require larger inner margins (Gutter) to prevent text from being lost in the binding.
- Retail Price Encoding: If you use a "Price-Point Barcode" (EAN-5), the price encoded in the small 5-digit block must match the retail price set in your title information. If you change your price later, you MUST update your cover art and barcode to match.
- Category & BISAC Mapping: Ensure your "BIC" or "BISAC" codes accurately reflect your content. Retailers use these codes to place your book in the correct "Aisle."
4. The "Retail Mirror" Audit: Cross-Platform Consistency¶
Retailers like Amazon and Barnes & Noble pull data from Ingram’s feed. Inconsistencies across platforms can lead to "Search Suppression." - Imprint Name: Your Imprint name must be consistent across IngramSpark and any other platforms (like KDP). - Contributor Roles: If you have an illustrator or editor, ensure their roles are defined identically in the metadata and on the title page.
5. Recovery & Stabilization Strategy¶
If your file is stuck in "Pending File Download" or "Technical Review," follow this sequence:
1. Sync Account Data: Go to the "Title Information" tab. Character-for-character, ensure the title and author match the PDF.
2. Generate a "Pro" Barcode: If your layout software (like Canva) produces low-quality barcodes, use the IngramSpark "Cover Template Generator." It provides a high-resolution, print-ready barcode tailored to your ISBN.
3. PDF Properties Audit: Open your PDF in Acrobat Pro. Go to File > Properties. Ensure the "Title" and "Author" fields in the PDF metadata match your account.
4. Resubmit Discipline: After fixing the metadata mismatch, you may need to pay a "Revision Fee" unless you catch the error during the initial upload phase. Use the "Pre-flight" tool to catch these before the final submit.
6. Advanced Metadata: SEO & Search Discovery¶
Beyond the ISBN, your "Description" and "Keywords" are critical for SEO. - The 200-Word Rule: Descriptions under 200 words often fail to provide enough context for retailer search engines. - Keyword Hygiene: Do not use "Tag Stuffing." Use natural phrases that describe the specific sub-genre or utility of your book. - Series Consistency: If your book is part of a series, ensure the "Series Name" and "Volume Number" are formatted exactly the same across all titles to ensure they are linked on retail pages.
